Shipping Your Instrument: A Professional Guide
At The Clarinet Lab, we regularly receive instruments from soloists and orchestral musicians worldwide. We understand that your instrument is an extension of yourself. Follow this guide to ensure your clarinet arrives safely at our workshop in Riga.
1. The "Case-In-Box" Method
Never ship a clarinet without its hard case.
-
Secure the instrument: Inside the case, ensure the sections cannot move. If there is any "wiggle room," place small pieces of acid-free tissue paper or thin foam between the instrument and the case padding.
-
The "Shake Test": Close the case. Give it a gentle shake. If you hear or feel movement, add more padding.
-
Bridge the Keys: Place a small piece of painter’s tape or specialized key-wedges over long keys (like the E/B or F#/C#) to prevent them from bouncing during transit.
2. Double-Boxing is Non-Negotiable
-
Outer Box: Use a new, heavy-duty corrugated cardboard box. There should be at least 10cm (4 inches) of space between the instrument case and the box walls.
-
Insulation: Fill the gap with high-quality packing peanuts, crumpled heavy kraft paper, or large-bubble wrap. Avoid using thin newspaper, as it compresses during flight.
-
Seal: Use reinforced "H-taping" (sealing all seams and corners) with heavy-duty packing tape.
3. Choosing a Courier
We recommend using "Express" services to minimize the time the instrument spends in transit and temperature-uncontrolled warehouses.
-
DHL Express: Our top recommendation for Europe and Asia. Their tracking is superior and their handling of "Musical Instruments" is well-regarded.
-
UPS / FedEx: Reliable options for North American clients. Always select a "Priority" or "Overnight" international service.
4. Customs & Paperwork (International)
To avoid unnecessary duties or delays when shipping to Latvia (EU):
-
Description: Clearly label the item as: "Musical instrument (Clarinet) for professional repair and return. Temporary Export."
-
Harmonized Code: Use HS Code 9205.90 (Wind Musical Instruments).
-
Value: State the replacement value for insurance, but clarify it is for Repair Only.
5. Notify the Lab
Once you have dropped off the package:
-
Email us your Tracking Number.
-
Include a brief note inside the box with your Full Name, Return Address, and Phone Number.
-
We will notify you the moment the package arrives and passes our initial "Intake Inspection."
Pro Tip: Avoid shipping on a Thursday or Friday. By shipping on a Monday or Tuesday, you ensure the instrument arrives at our workshop before the weekend, preventing it from sitting in a cold sorting facility over Sunday.
